The Board of Directors shall appoint committees as necessary and shall appoint a chairperson for each committee. All committees and chairpersons should work to pursue the purposes and mission of the Fellowship. Each committee will develop a committee mission statement to be approved by the Board; these mission statements will be reviewed and updated periodically.
Only UUFF members may serve as committee chairs; committee membership is open to members and friends. In order to promote shared leadership, committee chairs will serve for no more than 2 consecutive years. It is recommended that each chair identify a future chair to train during the second year of service. The chair of each committee is entitled to a key to the Fellowship building (see Building Key Policy).
Committees should meet several times during the year. Meeting dates, times, and places should be reported to the Administrative Assistant to be posted on the Fellowship calendar. Committee meetings are open to all members and friends with the exception of the Ministerial Relations Committee and the Personnel Committee. Minutes should be taken at each meeting with one copy to be kept by the committee for its own use and another copy to be kept in the office by the Administrative Assistant. (These records may be kept electronically.) Committee minutes should be kept in the office for seven years, but may be kept as permanent records by the committee. Either a brief email report or a copy of the minutes should also be provided to the Board Secretary who reports committee activities to the Board each month.
The chair of each committee is responsible for preparing an annual budget request when requested by the Finance Committee. The budget request will then be turned in to the Finance Committee for use in developing the budget for the next fiscal year. After budget approval at the spring congregational meeting, committee chairs should request a copy of the budget from the Treasurer so they know how much money was allocated to their committee. Committee account balances appear in each month's Treasurer's Report which is presented to the Board. These reports are available in the office. A detailed report of expenses may be requested from the Administrative Assistant or Treasurer. Committee members can be reimbursed for expenses by completing a voucher (located in the office), attaching relevant receipts, and submitting it to the Treasurer within 30 days of the expense. (See Financial Procedures.) All vouchers must be approved and signed by the committee chair before being submitted to the Treasurer.
COUNCIL OF COMMITTEES
The Secretary of the Board is the head of the Council of Committees and will call meetings for the committee chairs as needed to provide support and to enable collaborative efforts.
Committee chairs will submit a written annual report of activities to the Board by May 1. The Board Secretary will collect the information and prepare an annual report to include reports from the Board, committees, the minister and program areas.
